Receptionist / Administraator

We are seeking a warm, organised and professional Receptionist / Administrator to join our team and support the effective delivery of our reception, administrative and clinical support services. Reporting to the Executive Support Officer, this role plays an important part in creating a positive experience for clients, whānau, visitors and staff while ensuring the smooth day-to-day operation of our office and contracted services. This is a part-time position with 20-25 hours per week.

About the Role

Working closely with the wider team, you will provide reliable and efficient support across reception, office administration and clinical administration functions. This is a varied, hands-on role suited to someone who enjoys working with people, values attention to detail and takes pride in creating welcoming, respectful and culturally safe experiences for everyone who engages with NBPH.

Key Responsibilities

  • Providing professional reception services and being the first point of contact for clients, whānau and visitors.

  • Managing telephone enquiries, room bookings and office administration tasks.

  • Supporting clinical administration, including appointments, records management and reporting requirements.

  • Assisting with project, meeting and event administration.

  • Providing general administrative and financial support as required.

Skills and Experience

To be successful in this role, you will demonstrate:

  • Experience in reception and administration, ideally within a health or community services environment.

  • Strong organisational skills, attention to detail and the ability to manage competing priorities.

  • Excellent communication skills and a warm, professional and approachable manner.

  • A proactive and adaptable approach, with the ability to work effectively both independently and as part of a team.

  • A commitment to equity, cultural safety and providing a welcoming experience for everyone who engages with NBPH.

  • Good working knowledge of Microsoft Office, with experience using patient management systems an advantage.
